1. Who we are
SendMero is operated by Score Digital LLC, a limited liability company registered in Wyoming, United States. In this policy, “SendMero,” “we,” “us,” and “our” refer to Score Digital LLC. Our services are currently offered to customers in the United States.
This policy covers information connected with our website, customer accounts, support, billing, email API, and SMTP service. Our Terms of Service describe the rules for using SendMero.
When customers send emails through SendMero, they decide which recipients to contact and what to send. Our role in handling that information is described under Emails sent by customers.
2. Information we process
The information involved depends on how you use SendMero:
- Account and contact information: details you submit, such as your name, email address, company, phone number, country, expected sending volume, account credentials, sending domains, inquiries, support correspondence, and marketing preferences.
- Billing information: your selected plan, billing contact details, invoices, transaction records, and payment status. When you purchase a paid service, Stripe processes the payment information submitted through its payment flow.
- Customer email data: sender and recipient addresses, message headers, subject lines, and other information included in an API or SMTP request. Email bodies and attachments are processed to transmit your messages; SendMero does not retain them. We retain subject lines for debugging as described under Data retention.
- Delivery and engagement information: message identifiers, timestamps, delivery results, bounces, complaints, unsubscribes, and open or click events when customers use those tracking features. Tracking events may include a recipient’s IP address, browser or device information, and the link clicked.
- Technical information: information generated when a browser or application connects to our services, such as IP addresses, request details, browser information, and service activity needed to operate and troubleshoot the service.
We receive information directly from visitors and account holders, from customers submitting messages and recipient data, through use of the service, and from providers involved in hosting, delivery, and payments.
3. How information is used
- Set up and maintain accounts, authenticate requests, and manage sending domains and service settings.
- Route and deliver customer messages, report delivery outcomes, and provide the tracking, analytics, and webhooks used by the customer.
- Administer subscriptions and payments, measure billable usage, and maintain transaction records.
- Investigate delivery issues, respond to support requests, and communicate about accounts and service changes.
- Send SendMero news, product updates, and resources when you opt in. You can unsubscribe at any time.
- Detect and address spam, fraud, unauthorized access, and other misuse; protect the service and enforce our terms.
- Meet legal obligations, respond to lawful requests, and establish or defend legal claims.
Customers are responsible for the purposes of the messages they send and for the notices and permissions needed for their use of recipient information.
4. Emails sent by customers
We handle message content and recipient information on a customer’s behalf to provide email delivery and related features, subject to applicable law and our agreement with that customer. Our handling of account, billing, security, and legal records may be for our own business responsibilities.
If you received an email sent through SendMero, the sender’s privacy notice explains why they contacted you and how they use your information. To stop that sender’s marketing, use the unsubscribe option in the message or contact the sender. Unsubscribing from one sender does not unsubscribe you from every business using SendMero.
Send privacy requests about a customer’s mailing list or message content to that customer first. You may also contact us at connect@sendmero.com; we will help identify the appropriate route for your request. To report abuse, include the sender and relevant message details without including passwords or other sensitive information.
5. Providers and other disclosures
We do not sell personal information or share it for cross-context behavioral advertising. We do not disclose customer information to third parties for their own marketing. The service-related processing described below is needed to operate SendMero and deliver customers’ messages.
We use the following providers for the stated services. They receive information relevant to the functions they perform:
- Cloudflare: website hosting and network services, which involve processing requests to our website.
- Make: processing website contact-form submissions and sending notifications to our team, including the contact details, message, and marketing preference submitted in the form.
- OVHcloud: hosting and email-delivery infrastructure, which involve processing service data and customer messages.
- Hetzner Cloud: cloud hosting and infrastructure used to operate SendMero, which involve processing service data.
- Oracle Cloud: cloud hosting and infrastructure used to operate SendMero, which involve processing service data.
- Amazon Web Services, through Amazon Simple Email Service (SES): email delivery, including sender and recipient information and message content submitted for delivery.
- Stripe: payment processing for paid services, including payment and billing information provided during checkout.
Delivering an email also requires sending its content and addressing information to the recipient’s email provider. If a customer configures a webhook or another integration, the relevant service events are sent to the destination chosen by that customer.
Information may also be disclosed when reasonably necessary to comply with law or legal process, investigate abuse, protect rights and safety, or obtain professional advice. In a merger, acquisition, or transfer of business assets, relevant records may be shared with the parties involved, subject to applicable confidentiality and legal requirements. We may also disclose information at your direction.
7. Data retention
Email delivery logs, including subject lines retained for debugging, are kept for up to 30 days. Log history available in your account depends on your plan. We do not retain email bodies or attachments in SendMero; they are processed for transmission through our delivery providers. SendMero is not an email archive.
Other information has different retention needs. Account information is needed while an account is active; billing records may need to be retained for accounting and legal obligations; support and security records may be needed to resolve issues or investigate misuse. Suppression information, such as an unsubscribe or complaint record, may need to be kept to prevent unwanted messages.
Retention decisions take into account the purpose of processing, the type of information, contractual requirements, and applicable legal obligations. A legal preservation requirement may require particular records to be kept longer. Contact us about deletion of your account or information.
8. Security and processing locations
No online service or email delivery method can guarantee complete security. Protect your account credentials and API keys, limit access to authorized users, and contact us promptly if you suspect unauthorized use.
SendMero is operated by a U.S. company, but that does not mean all processing takes place in the United States. Processing locations depend on the hosting, delivery, and other providers involved, and recipients’ email providers may operate in other countries. We do not make a U.S.-only data-residency commitment in this policy.
9. Your choices and requests
To request access to, correction of, or deletion of information associated with your SendMero account, email connect@sendmero.com. Describe your request and provide the email address associated with your account. Do not send passwords, API keys, or payment card numbers.
We may need information reasonably necessary to verify your identity and authority before acting on a request. Some records may need to be retained for legal, security, or accounting reasons. We will explain applicable limitations when responding.
You can unsubscribe from SendMero marketing emails at any time using the unsubscribe link in those messages or by contacting connect@sendmero.com. Necessary account, billing, security, and service communications are separate from marketing preferences.
For messages sent by one of our customers, follow the process described in Emails sent by customers.
10. U.S. state privacy rights
Depending on your state of residence, the nature of the information, and whether a law applies to our processing, you may have rights to obtain information about our practices, access or receive a copy of your personal information, correct inaccuracies, request deletion, or opt out of certain processing. Some laws also provide a right to appeal a denied request or allow an authorized agent to act for you.
Submit a request, an authorized-agent request, or an appeal to connect@sendmero.com. For an appeal, explain which decision you want reviewed. We will evaluate your request under the law that applies, including its verification requirements, exceptions, and response deadlines. We will not unlawfully discriminate against you for exercising applicable privacy rights.
Registering our company in Wyoming does not remove rights that another applicable state law gives you. This section does not mean every state privacy law applies to SendMero or to every category of information we handle.
11. Children’s information
SendMero is a business service intended for adult account holders, not a service directed to children under 13. If you believe a child has provided personal information directly to us, contact connect@sendmero.com so we can investigate and address it.
Customers are responsible for complying with laws that apply to the recipient information they submit, including restrictions on collecting or using children’s information.
12. Changes and contact
We may update this policy when our services or information practices change. We will identify the updated policy with its revision date and provide additional notice or obtain consent when required by applicable law. A policy update does not override restrictions that apply to information already collected.
For questions or privacy requests, contact Score Digital LLC, Wyoming, United States, at connect@sendmero.com.
